After learning about the benefits of data extensions, why using Convergence Cloud is important, and how to create data extensions using Convergence Cloud, you may have a lot of lists or data extensions that need to be migrated over using Convergence Cloud. The CX Marketing team in University Marketing and Communications can help you with that.
The process
Phase 1
First, you will need to:
- Identify lists that need to be converted. For any lists that you need to keep in the long term, create a folder named "Migrate" and move your lists there. Any other lists can be moved to a “Do not migrate” folder, or left where they are. This will help us identify the lists that need to be migrated easily and to prevent converting lists that will not be used over the long term. Learn how to create folders and move data.
- Identify data extensions that are using emailaddress.MID as the Subscriber Key instead of Salesforce ID. These data extensions are also passed through Convergence Cloud to find their associated Salesforce ID or to create a new record in CRM. Create a folder within Data Extensions named “Migrate” and move your data extensions there. Learn how to create folders and move data.
When you’ve completed the above steps, let us know you're ready for your data to be passed through Convergence Cloud.
After you fill out the form, we'll start the migration process. It will take a few days to a couple of weeks, depending on the team's capacity and how much data you have.
When we’re finished, we’ll let you know. After that, you’ll need begin using data extensions moving forward. You’ll also need to learn how to use Convergence Cloud yourself to create new data extensions and add data to your existing data extensions.
Once you start using data extensions, you’ll also need to learn about publication lists as it is essential while sending out emails.
Phase 2
Once you’ve been using data extensions and are feeling comfortable with the new process, we’ll finish up with these steps. We’ll follow up 2 to 3 months after completing Phase 1 to see if you are ready for phase 2.
- We’ll confirm that you’ve been using data extensions exclusively for your email sends.
- We’ll confirm with you first, and once you’ve given the okay, we’ll delete all of your lists and data extension that use the old method of emailaddress.MID.
- This final step is the big one. We’ll delete the subscribers associated with your MID from the All Subscribers list, which will remove the duplicates from IU’s Marketing Cloud instance.
